Required Qualifications

  • Associate’s degree.
  • Three years students billing and/or accounts receivable experience.
  • Two years supervisory experience.

Preferred Qualifications

  • Bachelor’s degree.
  • Higher education environment experience, project management and/or group project experience.

Responsibilities

  • Supervise the student accounts staff – Bursar and Accounting Clerk.
  • Maintain and create billing tables and TOT codes for tuition, fees, student refunds, financial aid awards, and other scholarships in the enterprise software system (Jenzabar).
  • Perform data entry and prepares journal entries related to student billing of tuition and fees – record transactions, make adjustments and corrections.
  • Establish guidelines and procedures for cashiers at campuses and centers processing student registration and payments.
  • Issue cashier station numbers for Information Services to establish user rights for cashiers in the enterprise software system (Jenzabar).
  • Provide training to new staff in the Business Office and new Cashiers in the College.
  • Maintain accounts receivable files and reports in the Business Office drive.
  • Research and interpret student billing issues, prepare reconciliations, analyze reports, and recommend action to be taken.
  • Coordinate and advises the Bursar regarding dropping of students for non-payment.
  • Prepare and processes all third party invoices; manages relationships with third party payers; addresses inquiries and resolves issues related to current and past due accounts.
  • Approve third party credit extension on college contracts prior to issuance.
  • Manage student financial aid refunds with external vendors; coordinates with Financial Aid and Information Services on process changes; coordinates with Marketing on communications with students.
  • Manage other student refunds process – prepares refund checks and disbursements on a weekly basis.
  • Manage the accounts receivable collection efforts, coordinating with external vendors/agencies as necessary.
  • Participate in the Student Services coordinator meetings to maintain an open dialogue with other departments, identify and propose joint process needs, and keep abreast of student issues.
  • Coordinate with Financial Aid, Registration and Marketing to develop and publish key dates for the academic calendar – key financial aid refund dates, dropping students from classes for non-payments, dates for enrolling in installment payment options with external vendor.
  • Prepare and issue 1098-T’s to students; coordinates process with Information Services.
  • Develop and review accounting guidelines regarding student billing.
  • Assist with the annual audit by preparing accounting analysis and management reports related to accounts receivables and bad debt.
  • Assist with Business Office duties such as filing, copying, and distributing reports.
  • Update job knowledge by participating in educational opportunities and conferences.
  • Assist in development and maintenance of accounting guidelines for Business Office.
  • Maintain a positive collaborative relationship with all internal and external clients.
  • Assist with supervision of staff as needed.
  • Performs other duties as assigned.

Required License/ Certification

Valid Arizona driver's license.

Compensation

Initial salary range of $42,591 to $51,109 depending on education and experience.
